Description:Salary offered will be commensurate with applicant's experience.

Clinical Research Administrator needed for multi-project research group focused on alcohol, drug and psychiatric studies.
Duties:• Grants and contracts, pre-award: preparing budgets and budget justifications for review by Principal Investigators, organization and tracking of needed work statements, letters of intent, letters of support and biographical sketches from all relevant investigators and institutions, tracking of all materials needed for electronic submission, timely submission of proposals through InfoEd (on-line federal grants submission processes); liaison with RFMH, Columbia University and the other relevant institutions.

• Grants and contracts, post-award: subcontracts (Mailman, Psychiatry, clinical sites, technical experts) and consultants (agreements, invoicing, paying) – initiating and maintaining pay arrangements and budget monitoring; monitoring and reconciling grant accounts via local software (WebFtask); analyze all accounts to prevent over/under spending and working with the PI and grants office to prevent/resolve problems in this area; subject reimbursements and petty cash.

• Progress reports: work with the PI in preparing and submitting reports via eRA Commons or hard copy, as required by the sponsor, track due dates to assure timely preparation, assist in organizing and compiling materials, prepare financial components for review by the PI.

• IRB – organize and tracking IRB materials for submissions and renewals at PI and collaborating research sites at other institutions.

• Human resources – for paid personnel: assist in preparation of job postings for new and replacement personnel, ensure that announcements of job openings are posted online; screen applications, schedule interviews; assist new employees submit required paperwork, obtain required pre-employment orientation/training, and understand their benefits; assist departing employees with termination processes; obtain pre-hire information when necessary about visa requirements. For volunteers: schedule interviews, ensure that volunteers complete all required paperwork and obtain pre-volunteer orientation/training.

• Scheduling – meetings, conference calls, conference planning for meetings held at PI: conference rooms, food if needed, travel, lodging and reimbursements for off-site investigators • Travel and off-site conferences - arrangements, registrations, reimbursements

• Maintaining office needs (paper, toner etc) and other purchases including software licensing

• Liaison with IT, HR, RFMH, CU Psychiatry, New York State Psychiatric Institute. Accounts payable/receivable/Grants and Contracts and administration. Become familiar with policies and procedures for each department.
Qualifications:Bachelor’s degree in accounting, financial management or business administration preferred. Minimum 3 years experience in administration, including primary responsibility for financial management. Experience with grants management preferred.

Proficiency in Microsoft Office required, especially Excel.

Excellent written and oral communication skills, interpersonal skills, organizational skills and careful attention to detail.

Able to meet deadlines and handle multiple projects simultaneously.

Able to handle highly confidential information and materials.

Ability to anticipate, problem solve, and implement systems that contribute to an efficient and congenial working environment.
